Where Tasks Come From

The fastest way to create a task is right from your Inbox, without leaving the interaction you’re already looking at. One click turns any of the following into a task automatically linked to that customer’s record:

  • Text messages — a customer asks a question that needs follow-up
  • Reviews — a less-than-perfect review that needs a response
  • Surveys — feedback that flags something worth addressing
  • Voice calls — a call that ended with an open item
  • Scheduled appointments — pre- or post-visit follow-up

If a task already exists for that record, Cinch shows it to you instead of letting you create a duplicate — so nothing gets tracked twice, and nothing gets missed.

Built to Match How Your Team Actually Works

Every task moves through stages — To Do, In Progress, Waiting on Customer, Complete are common starting points, but you can rename, reorder, and color-code stages to match your own workflow. One stage always marks a task as complete, no matter what you call it.

Categories work like tags. Use them to flag what matters most — VIP customers, urgent issues, whatever your team needs to filter by — so priority items are never buried in a long list.

Two views make it easy to work the way you prefer:

  • List view in the Inbox shows every task with its customer, type, assignee, location, and stage at a glance.
  • Board view groups tasks into swim lanes by stage, so you can drag and drop a task from “In Progress” to “Complete” as work happens.

And when a task moves to a new stage, it can automatically trigger the customer’s next step in an automation path — so the task itself becomes part of the follow-through, not just a record of it.

Keeping Your Active List Clean

Completed tasks don’t have to pile up. Turn on auto-archive and set a number of days (14 is a common starting point), and finished tasks will drop off your active list automatically — while staying fully accessible in your archive if you ever need to look back.

Add Task Manager widgets to your dashboard for a live view of your team’s workload:

  • Task Pipeline — a snapshot of tasks in every stage
  • My Tasks — your own personal to-do list
  • Tasks by Category — your workload broken down by tag
  • Tasks by Source — where tasks are coming from (reviews, surveys, calls, texts, or created by hand)

Click into any widget to jump straight to that filtered view in Task Manager.

A few tips as you set it up:

  • Keep stage names short and consistent across your team so the workflow is easy to follow at a glance
  • Use categories to flag priority items so they’re easy to filter on the Board or in the Inbox
  • Turn on auto-archive early so your active list stays focused on what still needs attention
  • Before creating a new task, check whether one already exists for that customer interaction
